19 Questions to Ask Your Wedding Planner - Answers from Events by Elaine

Just about every wedding planning website offers a list of questions to ask potential vendors. So here are the answers to these frequently asked questions from Events by Elaine.

What type of experience do you have? I have 10+ years experience in event planning. I have worked on weddings, corporate events, religious conferences and large company conventions as well as smaller workshops.

What services do you offer? My packages range from week-of to full planning. I can adjust each package to meet your specific needs.

How do you keep in touch with clients?

I primarily use email as the main form of communication. I also use notes and referrals in the online planning portal, offered with every package. I offer unlimited emails with every planning package.

Will you be with us on our big day?

I will be at the rehearsal and the entire wedding day from before the ceremony until the end of the reception.

Do you work alone or with a team?

My starting rates include me alone. I can add assistants or staff to any package upon request.

Are you planning other weddings on the same day or weekend as mine?
I do not accept other weddings on the same weekend or 48 hour period as your wedding. I offer my exclusive services on your rehearsal and wedding day.

What's the average size of the weddings you plan?
I have handled weddings with 40 guests and weddings with 200+. My brides have had budgets of around $10,000 upwards to over $50,000+. I am comfortable at all of these levels. Since my focus is DIY and budget minded brides, I do not usually take $100,000+ weddings.

Do you charge for expenses or travel?

I do charge for travel if the event is outside my working radius area. This will be disclosed when you first contact me with your wedding day and location. I can provide a travel estimate based on your location and distance. There are no additional expenses in addition to my fee expect for purchases made by me for your wedding. The would usually be items that you requested I obtain.

What payment do you accept? Do you accept credit cards? I can accept cash, check, Paypal and credit cards (in person or over the phone)

What kind planning do you offer? Logistical only or Design and Logistical?

I offer logistical planning to handle the timeline, floorplans and other logistics. For design work I coordinate with other vendors including florist, lighting and draping companies.

Will you handle every aspect of the planning or can we do some things on our own?

No matter which planning package that you choose, you will always have the final choice for every decision. I am very flexible with my services; you can choose to handle any part of the planning or we can work together on each detail.

Can you help us stay on budget?

I will suggest vendors that will match your budget amounts. I will suggest ways to reduce spending and repurpose existing items. I believe every bride and groom should have a budget that they can afford and then stay as close to it as possible.

Who are your preferred vendors? Do you get a kickback from vendors?

I have had the privilege of working with many talented vendors in Tennessee and Alabama. I select vendors for each wedding individually from among a large pool. I do not discourage you from using pre-selected or unknown vendors unless I have had a bad experience with them. I do not accept kickbacks from vendors. I prefer to work with vendors based on the quality of their work and their ability to meet your needs and budget.

Do you create a timeline that tells everyone involved in the planning process what to do and when to do it?

For every wedding, I create a custom day of timeline outlining the events, who is participating, and any other notes. I coordinate with the other vendors to make sure everyone is aware of delivery or arival times. I try to stay closely to the schedule to maintain a nice flow to the event. However, I also gauge the bride and groom and adjust according to their feelings and if they need extra time at certain moments. I encourage my brides to forget that a schedule even exists and to just enjoy the day and let me take care of the flow and details.

Will you coordinate with all the vendors the day of the wedding?
I contact vendors the week of the wedding to confirm delivery or arrival times as well as to discuss any special neds they have or answer any questions for them. I stay in contact with the vendor throughout the wedding day

If I give you payment envelopes, can you pay each of my vendors?

Yes, I can handle payments for any of your wedding day vendors.

Will we work well together?

This is an important question to answer when hiring a wedding coordinator. Since you and the coordinator will spend so much time together on your wedding day, it is important that your coordinator is someone that you are comfortable with. This can be helped with a consultation meeting with me to discuss your wedding and ideas.

How far in advance should we book your services?

I can accept weddings as little as 2 weeks in advance if I have your wedding date available. However, I prefer that weddings be booked at least 6 - 8 weeks in advance so that I have time to get to know you and your wedding details. I usually accept weddings 12 months out.

Can you provide us with a portfolio of weddings you have done? Do you have any online reviews available?

Being True to Yourself - 6 Ways to get started

Wedding planning can be both fulfilling and overwhelming. Looking at wedding blogs, books and magazines can put most brides into creative overload. This abundance of amazing and gorgeous weddings can make it difficult for brides to narrow down the wedding style that is truly theirs. In wedding planning, you should be true to yourself - your ideals, your style for your wedding. Here are 6 ways to get you started:

1. You as a couple: Do you have common hobbies? How did you meet? Guests at your wedding want to see you and your personality reflected in the event. Give the tables names that reflect your hobbies or decor that matches your favorite travel destination.

2. You as an individual: Is the groom a DJ or musician? Is the bride an artist? Let your personal talents be included in your wedding. The groom could create the playlist or even perform one song at the reception. The bride can create the artwork for the programs or invites.

3. Your dream wedding: Most people have a vision of how their dream wedding looks and feels. While sometimes it is not possible to create this entire dream due to budget or time constraints, use that ideal to fine tune and refine your wedding. Do you dream of a wedding at an amusement park but it isn't possible? Serve cotton candy and funnel cakes or have a food truck. Maybe have some small games for the guests such as a ball toss or dart game.

4. Family traditions: There are some family traditions, whether they are of weddings or other events, that can be incorporated into most weddings Does your grandma always make her famous carrot cake for every family gathering? Enlist family ahead of time or take the recipe to a baker and make mini cupcakes. Are the same candlesticks or dishes at every Thanksgiving or Christmas meal? Use them on the head table or sweetheart table for a touch of tradition. Traditions and family history are a wonderful way to include the past with your future.

5. Your preferences: Some decisions are easier during planning. What colors do you like? Too many choices. What colors do you dislike? Your likes and dislikes should be conveyed to your vendors to give them insight to your preferences.

6. Being firm: Pressure from family and friends can make your decisions seem inappropriate or too casual. If something is important to you, then be firm about your decision. What make you as a couple happy should be your focus. While your family may not understand your desire to move away from "what everyone has done for years", it can be great to create your own new traditions.

Just remember, you are unique. Let it shine during your wedding.

Christmas Open House Recap

A few weeks ago, I had the privilege of working on a Christmas open house party for Fivestone Studios. Since I usually do corporate events for small businesses, I knew this was a perfect fit. Fivestone Studios is a video and animation motion studio with office space in a great building on 3rd Ave.

Planning this event with a few weeks time required the help of some great Nashville vendors for catering and bartending. It also required a little hands on DIY from me in the form of decor and event supplies.

Decor was simple with an obvious Christmas feel that didn't detract from the exposed brick walls and wood floors of the space.

The Chef and I catering provided a fabulous menu of mini caprese sandwiches, deconstructed stuffed mushrooms, candied red peppers and boursin cheese, seared ahi tuna with mango, mni buffalo chicken bites, pears with brie as well as their signature strawberry injection bar.

Guest Blogger: $14 Modern Ruffled Table Runner

This runner is easy to create and customize for your wedding. These could be used on all the guest tables or just on the special tables.

Burlap Base

For this tutorial, there are three different versions I’m going to show you:

Sew version - using a sewing machine (what I did);
Semi-sew version – using stitch witchery or no-sew hemming;
No-sew version – just cut and go. I will add the special no-sew instructions in italics.

Begin by measuring the length of your table. Mine is 79″ long.

Next, you will need to figure out the dimensions of your runner. I generally like my runner to overhang the length of the table by 6-8″ on each side. I personally think that runners that only overhang a few inches or don’t overhang at all look a little anorexic, but that’s just me. Runners are also generally 14-18″ in width, but again, choose what works for your table.

Because I’m one of those people who likes to see everything in writing, I wrote out my dimensions to use for cutting the burlap. If you are going to create the sew or semi-sew version of the runner, be sure to add in the 2″seam allowances as I did. If you are going to create the no-sew version, leave the 2″ seam allowances out of your calculations.

Are you following me?

If you don’t already have a stash of burlap on hand, head to a fabric store and pick some up. It’s generally less than $3/yard. For my runner, I needed about 2 1/4 yards. Burlap comes in an array of colors – white, black, natural, red, orange – so choose what works best for your decor.

Once you are home with your burlap, throw it in the washer and dryer if you are doing the sew or semi-sew version. If you are doing the no-sew version, do not wash it now. We’ll do that in a bit.

Now we’re ready to cut. Spread out your burlap on the floor and use a yard stick or tape measure to mark of your dimensions you calculated earlier. Follow the weave of the burlap to cut your lines as straight as possible. If you have already washed your burlap, go ahead and cut off the frayed selvage edges before you cut out your runner.

For the no-sew variety, now all you have to do is fray your edges! Throw your cut piece into the washer and dryer to soften the fabric and fray the edges. When it’s dry, or almost dry, iron the piece on a high setting and place on your table. Congrats! You’re finished!

For the sew and semi-sew varieties, fold under each edge 1/2″ and press. Repeat by folding under each edge 1/2″ again and press. I generally like to do the double folds on the long sides first and then the short sides so that I end up with nice square corners.

Now you can either add a strip of stitch witchery underneath the folds and iron it according to the directions on the package or you can run it through the sewing machine, as I did mine.

Ruffled Top

1. Buy some fabric that’s about two and a half times the length of your runner. Your measurements will be different, but my runner was about 80 inches long, so I needed a length of fabric that was about 5 yards long. I bought 3 yards of cheap quilting cotton ($3.99 “Symphony Broadcloth” at JoAnn’s, made cheaper by a 40% off coupon) and sewed two lengths of it together. You want to cut the length WITH the selvedge edge, notagainst. This ensures your ruffles will be nice and full.

2. You want the finished width of the new piece to be about 2 1/2 inches shorter on each side than the width of the burlap runner. Again, your measurements will be different, but my runner is 18 inches wide so I wanted my finished width of the new piece to be 13 inches wide. Add a 1 inch seam allowance on each side, which makes what I call my “cut to width” 15 inches wide.

3. Set up your sewing machine to stitch a long basting stitch with a loose-ish thread tension (mine was set to a 4). At about 5/8 of an inch from the long edges of your fabric, run your basting stitch, catching the fabric behind the foot so that it gathers. Hold it for as long as you can, and then let go and hold the next length. Do this for both of the long edges, and leave long thread tails (about 6 inches long) hanging off both ends on each side. You’ll leave the basting stitches in for this project, so you may want to choose a thread color that matches the fabric.

4. Head to your ironing board and press your new ruffles so they become folds. I’m sure this kind of ruffle has a fancy name, but I’m going to just call them modern ruffles. You don’t want them to look uniform, so it’s perfectly fine (and even preferred) to have creases and the folds going in different directions.

5. Lay out your burlap runner and place your new runner on top of it. Pull the fabric down the basting stitches (using the 6 inch tails if you need to) so that the new fabric is a few inches longer than the burlap. DON’T pull the basting stitches out.

6. Turn the basted edges under 1 inch and pin into place. I used a lot of pins to make sure that I got it all turned under and no ruffled poofs where hanging out. Because you placed your basting stitch at 5/8 inch, it will be hidden when you make you turn the edges under.

7. Go back to your ironing board and press the new fold on the edges that you turned under. I left the pins in place – just don’t iron over them if they have plastic heads.

8. Lay your new piece of fabric back out on the burlap and pin it into place. I pinned it down on both long edges and a few times down the middle. Stitch it down about 1/4 of an inch from the edge of the new fabric. However, since the edge of your fabric is now folded gathers, your edge won’t be completely straight and even. Your stitch will even make the fabric pinch and fold. I’m sure that professional seamstresses will hyperventilate over that, but it’s totally fine (and again, preferred) for this project.

9. Visit your ironing board again and turn under the parts of your fabric that you let overhang the ends of the burlap. If it’s more than about an inch or so, you may want to trim it. Just turn it under the burlap, pin it, press it, and then stitch it in place.

Now you’ve got yourself a nice set of modern ruffles on a great burlap table runner. I absolutely love the look of this updated version.

Jessica and Kirk's Wedding Day Surprise

Jessica and Kirk were married on a beautiful day in August. Both the ceremony and reception were held at West End Church of Christ.

Jessica was getting a cake from Maples Wedding Cakes.

The cake, of course, was simply amazing. It incorporated Jessica's colors of black and white with red accents.

What Jessica didn't know was that Jay Quall was going to personally deliver the cake. Jay visited with Jessica before the ceremony.

The bride and groom didn't see the cake until they entered the reception. They were thrilled as you can see.

Venue Spotlight: Natchez Hills Vineyard

I recently had the pleasure of visiting Natchez Hills Vineyard and Event Center. This venue is located about an hour southwest of Nashville near Columbia.

This location features a vineyard as well as an event center. A winery is schedule to open in the near future. Weddings can be held outdoors by the vineyard or indoors in the event center. The event center holds around 125 guests. There is also the option of placing a tent near the vineyards for an outdoor reception.

Flowers by Columbia Carriage House

Next to the event center is a full cottage with a kitchen and bedrooms that the bride can use to change or rent for overnight use. This cottage is conveniently located across the patio from the event center. It is fully furnished and includes a great kitchen.

Natchez Hills offers packages from Venue Only to Full Service. Venue Only packages include tables and chairs and start at $2500, plus cleaning fee and tax. The venue offers a list of preferred vendors but allows outside vendors as well. Full Service packages are based on your guest count and include music, flowers, cake, lighting and many more services and upgrades.

A recent trend for weddings has been to light sky lanterns, otherwise known as Chinese wish lanterns. The effect is a beautiful and unique end to your event.

(You knew it was coming didn't you. There has to be a problem with anything this amazing.) It's illegal. I have had to tell all of my brides from the last few months that the exit that they planned has been banned in the state of Tennessee. This law went into effect July 1, 2011. I know that my brides have been very disappointed by this news.

If you are planning to use these for your exit, be sure to check all your state and local rulings.

Sarah and Drew Tie the Knot

Sarah and Drew planned a fun and beautiful wedding in Franklin, TN. The ceremony included a large bridal party and a bagpiper. The reception was filled with great details and memorable extras.

Sarah wore these amazing blue shoes!

On the guest book table, Sarah made these cute letters. Instead of the traditional book, she had a fingerprint tree with earth inspired stamp colors.

The reception dance floor was strung with lights lending an evening feel to the late afternoon event.

The table centerpieces were alternated. One was candles with an orchid; the other was a vase filled with ranunculus and roses.

Some of the highlights of the evening included more desserts - raspberry cheesecake was served and there was a smore station (very popular).

Don't forget the marriage

Recently a celebrity wedding followed a few months later by a divorce has been making headlines. The wedding was amazing with designer dresses, celebrity everything and hundreds of guests. But somewhere in planning this event, the bride and groom lost sight of the true goal... the marriage.

Planning a wedding involves hundreds of hours of planning and coordinating sometimes hundreds of little details. It can be easy to get so caught up in the wedding that the marriage can be something of a let down. Marriage isn't always glamorous or even fun. Sometimes it is difficult and it takes work, a lot of work. A good marriage doesn't make itself. A good wedding doesn't make a good marriage.

The Fabulous Forties - Part 2

World War II changed the world and people back home in America. Women learned to make do and manage with rationing. This was all very true to the 1940's bride. Many times weddings would occur on short notice with many men being deployed overseas quickly.

If you are wanting a vintage 1940's inspired wedding, here are the things to remember. Life was in many ways simpler. Fabric and many luxury food were in short supply with rationing. Wedding dresses were a borrowed or handmade dress or even a suit that could be worn again. The tailored look was very popular as well as hats with veils.

Music was very important. With limited money and resources, dancing was a popular pastime. Swing music or big band music was the sound of the day from Glen Miller and Tommy Dorsey. If you can't have a live band at your reception, then talk to your DJ about incorporating music from this time period. You could even have someone demonstrate a swing dance.

"Candy Man" from Christina Aguilera is a new take on the orginal era. The Andrew Sisters inspired many with their harmony. Get inspired by the fashion, sounds and dancing...

While photos of the era were often in black and white or sepia, the time was filled with vibrant colors usually in jewel and metallic tones. Dresses were shorter than before and tailored to conserve fabric while still embracing the feminine form. Hair styles were shorter while still elegant. Lauren Bacall embodied the classy, simple waves of this time. Wedding hair styles were frequently curled or styled more elegantly since jewelry, lace and other accessories were in short supply.

The reception decor was again simple. There would have been banquet tables with simple vases. Finding a venue with this age and feel will eliminate the need for large amounts of decor. Today's brides take inspiration from the time and creating their own decor.

I have always loved the 1940's and World War II fashions. They are the epitome of style. My influence came from my grandmother, a true war bride, who always dressed in the classic style of that era.

The 1940's were a time of elegance but also a time of war and rationing. My grandmother told me that her wedding dress was made of remnant silk from the parachute factory where she worked. They bought the fabric by the pound. I am always inspired when I see what they accomplished with so little.

Music played a big part of the era with big bands from Glen Miller and Benny Goodman. "Make do and Mend" was the mentality during these times. Most brides made their dresses or borrowed them from other.

This simplicity also carried over to decor and lifestyles. The reception focused on dancing and togetherness, while the food was simple with cake and punch.

I saw this wedding on another blog and wanted to share some of the awesome details. The venue was a major feature of this wedding and the bride added details that complimented it well.

These handpainted signs were used throughout the wedding. Very small time and budget requirements, but very big impact when used cohesively.

A venue with great details like this is worth it. You will save so much money on decor.

I absolutely love this idea instead of program. It is so unique and yet goes along with the rustic feel. It also saves time and money on programs, which may just get thrown away afterwards.

I had the pleasure of working on a fall wedding at the Parthenon in Nashville. The ceremony was held in the Athena room and then changed over for the reception as well. Photos were taken at the Parthenon as well as Centennial Park in the gardens.

The bride and groom incorporated color into the flowers and the groomsmen shirts.

Instead of a traditional looking cake, the bride had a custom cake made using a mold from a pitcher that she owned. It was truly a stunning cake.

Lighting can impact both the visual aspect of your wedding as well as the feel. For a rustic or outdoor wedding, the lighting must match the theme. Instead of large uplights, smaller more intimate lighting is needed.

Typical choices are jars and lanterns filled with candles. Mason jars along walkways or on tables add a warm yet relaxed feel. Jars can be found at yard sales, thrift stores and the canning section of grocery stores. (Note: jars and lanterns can get very hot with candles burning)

Rustic looking lanterns also add great visual appeal. They can be found in a range of styles and designs. Typically they will be found in home decor stores or online. While I personally believe that photography is one area that you should splurge on since it is the one area that truly lasts, I understand that everyone has a budget. Here are some tips and resources to help you.

There are some amazing photographer who can take a photo in any setting and make it magical, but it's not always possible to afford the price tag. Photography is also subjective; everyone likes different styles of photography.

Bare Bones Budget (less than $500):
Look for students at art colleges, people who do photography for a hobby, people who take photos for their job i.e. real estate, product catalogs, etc. Be sure to look at lots of photos that they have done so that you feel comfortable with their work.

Limited Funds (less than $1000):
There are some photographers who start their prices in this range. The packages typically include one photographer and less time, but may be better quality photographs.

Need to Cut Costs (less than $2000):
You can find a some professional photographers in this category. They typically offer all of the images on CD or DVD and don't offer a printing option. Again, this usually includes one photographer for a limited number of hours. You will see a difference in the quality of the photos from less expensive photographers. These photographers may work full-time jobs in addition to photography so their schedule may not be as flexible.

Faux Elegant (less than $3000):
This is still a large amount of money, but when you consider that the best photographers cost $6000, this is still a big savings. This is where you will find a large selection of photographers. Some of them have been trained by topline photographers and been in business for a while.

When you first start wedding planning, it can be difficult to decide on a theme or feel for your wedding. Finding your wedding style is a process. It starts with you the couple. If you aren't sure of what you want or like then start with what you dislike. Think about your favorite things - movies, restaurants, hobbies, art, vacations, etc. These elements can be incorporated into your day to create a unique and personal celebration. Your theme should be a consistent element that is visible throughout the wedding.

Every element doesn't have to overlap exactly. You may love Italian food but like the look of an outdoor English garden. Do you have a favorite food or restaurant that you want at your wedding? Do you like to dine formally or casual? That may decide whether you have a buffet or sit down service. What is your favorite or ideal vacation? Is it casual and relaxing or indulgent and luxurious? Can you incorporate elements of that into your wedding or choose a venue that recreates that feel?

Think about your favorite music, designers, trips or even what you like to do to relax. These can all help to define your event in a way that matches your personality.

Should I Be a DIY bride?

The term DIY is everywhere in weddings. Every blog is filled with amazing images of projects that the bride created herself. It can make you wonder how she had the time. Any bride can be a DIY bride the real question is should you?

Being a DIY bride can allow you to have a personal, tangible connection to your wedding, whether it is through the favors or the décor. Almost no area of wedding planning has been untouched by DIY with the exception of actual day of events. The list of possibilities is endless – chair sashes, bridesmaid hair pieces, cake topper, centerpieces, invitations, and so on.

Before tackling any project, do you homework. Research the final cost to create the item and then get a price quote from at least 2 wedding vendors. If your only reason for doing DIY is to save money, you may find that it isn’t a substantial savings for every project. If your reason is to create beautiful personal items that other will cherish, then also be sure to research the time investment.

Don’t allow yourself to become overwhelmed with tasks. Large tasks may require the help of bridesmaids, friends and family. Time the projects so that they end at least 2 days before the wedding. Unless you are skilled, experienced and have staff, don’t attempt to make the wedding cake or handle the catering yourself. You don’t need the stress involved during the 24 hours before your wedding.

Plan ahead for transportation. Now that you have created these amazing masterpieces, you have to know how they will get to and from the wedding venue. Do they need assembled? Distributed? Arranged? Talk with friends and wedding vendors to know in advance who will take care of these items. Also be sure to designate who takes everything home after the big day.

Once you have handled these items, have fun with your DIY projects. Invite your friends over for a crafting party and create a wedding that is unlike any other.

I saw this amazing shoot by Whimsical Gatherings & Dixie Pixel out of Knoxville. The photos are full of vintage charm and a modern yet rustic feel. The bright pink and blue color scheme is bright compared to most pastel and washed out color schemes.

Simple details such as ribbon, lace and a broach add color and impact. Vintage milk vases can be found at antique stores or perhaps in your parents or grandparents attic. They are very fresh while still adding to the vintage appeal.

These shoes are amazing

This table would be great for the bridal party or just for the bride and groom. The casual flower arrangements maintain the rustic feel along with the antique dishes and tableware.

Puckett's Grocery is great southern food. If you haven't already been to Puckett's Grocery, you should go. They have locations in Franklin, Leiper's Fork and downtown Nashville. The place is always packed, the food is awesome and they have songwriting nights throughout the year. Everything I have eaten from the chicken to the prime rib to the burgers have been sooo good. They have all the dishes you would expect including squash casserole and fried green tomatoes. They would be a great option for rehearsal or reception.

As you walk into most wedding receptions, you expect to see 10 or 12 round tables scattered throughout the room. However, one of the newest trends is to switch up the seating.

Skip assigned seating. Use round, square, rectangle and even triangle tables in varying sizes and heights. Same for seating; use chairs, stools and lounges. Create a setting that allows people to move and lounge where they want. This creates a more eclectic look but allows for more freedom and movement.

Every year at this time, we all start thinking about what we want to change and do different this year. This time of year is all about making a fresh start.

In my business, I do the same thing at the beginning of the year. What do I want to achieve? What would I like to do different? This year I have decided to take a different approach. A lot of people have helped me with my business, volunteering information, putting in a good work for me, helping with weddings, etc.

I want to pay some of that goodwill forward to brides to be. I am starting with two simple new items.

1. Referral Program - I have people tell me "I gave so and so your phone" or brides tell me a friend gave them my info. I want to express my thanks for those referrals. Staying Organized with Evernote - Start the New Year Right

Just like most brides, wedding planners have to stay very organized. It can be very difficult when inspiration strikes while walking around shopping or sitting in traffic. It isn't always practical to walk around with a folder of notes and photos either.

Now a great solution - Evernote. After reading people rave about it on Twitter, I decided to give it a try. I already love how organized it makes things.

First, Evernote is a free application. Second, it has applications for desktop, web browser and mobile and they all sync together.

I use it to keep track of wedding trends and great ideas for my blog, as well as notes from brides. You can jot down a note on your phone and then add onto later sitting at your computer. With the web browser app, you can click one button and save the website you are reading. Or just select the text and photos you want and save them for later, like when you are shopping and trying to remember which way that dress looked online. Simply look up your notes on your phone. Its a pretty smart application.

You can edit and delete notes just like any document. You can also print and email from inside the app as well.

You can organize the notes inside of notebooks as well as add tags. There is also a search function to help you find specific notes or topics. The best part is that Evernote can recognize text within images as well as handwriting. Want to keep track of your vendors, take photos or scan their business cards.

You can also record audio notes and use the draw function to sketch. You are given a custom email address so that you can email things directly into your Evernote account, such as the floor plan from the lighting company or the rental list.

Brides, use this great resource to keep your wedding information organized and easily accessible.

Happy Holidays...And The After Christmas Sale

Merry Christmas to all brides, recently married, just engaged or celebrating 50 years of happiness. The holiday season is a great time filled with friends, family, happiness and goodwill.

For many brides planning their wedding, this is also a GREAT time to grab some bargains. Almost every retailer has an after Christmas sale to mark-down holiday merchandise. So stock up on ribbon, candles, electric candles, white lights, and so much more. In addition to decor, some brides have confessed that they purchased cases of wine glasses, dishes, linens and so much more. These are things they could not have afforded if not for this sale.

Beyond the traditional red and green, most items can be found in white, silver or gold or with gold or silver trim. These are colors that can be easily incorporated into all weddings. Some stores also offer decorations in pinks, blues, purples, etc - colors that can work for a lot of weddings. Think large vases filled with pink or purple ornaments.

For the DIY bride, many craft supplies go on sale during this time as well.

Also think outside the box. All those packaged gift sets of lotion, perfume and toiletries, can be repacked into nice guest baskets for the bathrooms.

If your wedding isn't too far after Christmas, all those chocolates and truffles can make nice favors or be used in hotel welcome bags for guests. Also keep in mind the rehearsal dinner and other parties.

Website Launch Party - Huntsville

This past spring I had the pleasure of working on a website launch party for ARC Design Build Inc, a green remodeling company in Huntsville, AL. The event was held at downtown Huntsville's most eclectic historic venue A.M.Booth's Lumberyard. The venue is full of unique decor and indoor/outdoor spaces.

Events by Elaine provided planning, decor and event staff. We used a simple, muted color scheme with candles and some limited flowers. Here are some of the photos from my camera phone:

We filled these large cylinder vases with translucent gems and put lights inside for a great nighttime effect

We used simple flowers in the gold family of colors

We filled two dozen jars with candles and used them to light the walkway in the venue.

All the catering was provided by Emma's Tea Room. The food they provided was fabulous and the presentation was better than most I have seen.

The menu included a fruit and cheese tower made of glass shelving and vases with fruits cascading down. Fresh vegetable platters with dips. Homemade crackers served with a variety of spreads. Carving station roast beef served with small sourdough rolls and gourmet mustards and aoli spreads. Warm stuffed tomatos filled with cheese. Warm grilled vegetable skewers served with flavored dips and oils on the side.Warm homemade falafels with yogurt sauce on the side. Little freshly made fruit tartlets. Brownie bites with freshly made whipped cream and berries chocolate covered strawberries.

In addition to the dessert by the caterer, there was a custom cake in honor of the event. Look at this impressive cake by Slice at a Time. Everything is edible except the computer screen, which is covered with edible decorations. The actual cake (which includes the laptop and briefcase) is white chocolate and chocolate mud cake with layers of swiss meringue buttercream. The coffee cup is all cake with fondue icing and raspberry fudge filling.

Detours on the Wedding Planning Journey

Wedding planning can appear glamorous and fun. However, for most brides it can amount to the workload of a second job. There are also some unexpected bumps in the road.

There are hundreds of books, websites and forums to get ideas and inspiration. Unfortunately, all that creativity can also be overwhelming. How do you choose between fushia and pink? It can be daunting to choose between all of the fabulous options that exist.

Once you decide on the perfect flowers and cake, you realize how much its going to cost. Everything costs money and it can be a little depressing to realize you can't afford to do all of the great things you planned.

So you decide to cut some costs by trimming the guest list and the catering menu. That's the moment when everyone from your mom to your hairdresser starts giving you suggestions and telling you who to hire. "We have to invite great-aunt Edna because she was invited to your cousin's wedding." The one person who may not express any opinion or offer advice is your groom. Some guys just don't have a true opinion about all the little details involved in wedding planning.

While you can't avoid every detour and issue that arises, being aware can help you to step back and look at it as part of the process. Try to take a few breaths and relax. Stress only creates wrinkles (Oh, did we forget to mention that everyone will be talking about how you look.)

What a Day of Coordinator Can (and can't) do for You

A professional day of coordinator can be your best resource for your wedding. There are a lot of things they handle, freeing you to relax and enjoy the day.

Without a coordinator, you will be the contact for everyone from your out of town relatives to the caterer needing outlets. A coordinator CAN be the point of contact for all vendors, the bridal party and immediate family. A coordinator CAN'T shield you from everyone wanting to ask questions or from all the out of town relatives.

A coordinator CAN'T prevent all the issues and emergencies from occurring. We CAN have solutions for most of the common problems that arise.

A coordinator ISN'T psychic. Since you have planned your wedding, your coordinator will need to know all of the smallest details to keep your wedding running smoothly. A coordinator IS good at juggling all the details and timing involved in a wedding.

A coordinator CAN assist other vendors throughout the day, e.g. caterer, DJ or photographer. A coordinator CAN'T do this if she is also supposed to be handling other tasks at the same time. A good coordinator will also point this out to you while creating or reviewing the timeline.

A coordinator IS excited to see all of your idea come together on your wedding day. A coordinator ISN'T a fairy godmother who can create extra centerpieces or decor if it wasn't planned.

Most coordinators WILL work long hours the day of your wedding and spend hours on their feet. A coordinator WON'T know that you have planned for them to tear down and pack everything unless you have talked about this before. Please communicate this beforehand so the coordinator can plan accordingly.

A day of coordinator can be your best investment for your wedding. Just have realistic expectations of what they can and can't do for you and be sure to communicate what you need.

Great Art Gallery Wedding - Congrats Zea and Chris

Chris and Zea were inspired by peacock feathers for their wedding. They used those colors in everything from the custom invitation to the bridesmaids dresses to the centerpieces and beyond. They also used feathers randomly throughout.

The ceremony and reception was help in the Rymer Gallery downtown Nashville.

The table centerpieces were vintage blue and green vases the bride collected.

The cake was inspired by their favorite piece of artwork. Instead of a groom's cake, they had cookie bars and milk shooters.

These awesome wine glasses are square with a hollow stem. They are a solid one piece disposable plastic. You can buy them in a pack of six or by the case.

I personally have used these glasses at a corporate party and the guests couldn't stop commenting about how cool these glasses were. They are very sturdy and don't have tipping problems. Some of the guests even asked if they could take an empty glass home. These would be great for a party or even for a wedding.

Expert advice for the Big Day

While every bride wants to reduce the amount of time and energy involved in getting information to and from guests, cutting corners can cause problems.

If you choose to have an outdoor ceremony or reception, inform your guests! Since you can't control the weather, guests deserve to know that. Guests don't want to find themselves in an outdoor unheated venue. If there is a parking fee or other expense associated with your wedding, let guests know so they can have cash on hand.

Also, if guests are expected to bring items, such as a chair, or dress a certain way, make sure that information is included with the invitation as well as on your wedding website. Both the bride and the guests would feel uncomfortable and embarrassed if they came casually dressed to a semi formal wedding.

This same courtesy extends to your bridal party. If you are expecting certain things of your bridesmaids or groomsmen, let them know. They can't read your mind and it isn't worth ruining a good friendship over.

For Middle TN brides, a great flower resource is Import Flowers on Murphy Rd off West End. They offer a wide selection of flowers, stems and greenery. The flowers are fresh and very pretty. If you don't see something you want, be sure to ask. They can purchase most any flower at auction and have it available within a week.

If you visit, be sure to bring a jacket year-round. The big walk in coolers can be pretty cold.

Kristin and Dustin were married on a beautiful day in downtown Nashville. The ceremony was held at the Downtown Presbyterian Church, which contains both Egytian Revival architecture and decor.

At the end of the ceremony, the bagpiper let the guests around the corner and down the few blocks to the reception on Broadway. Truly, a memorable moment.

The reception was held at the rooftop venue, Aerial overlooking the city. The Groom is a member of the band,
Queens Boulevard, and during the reception the band performed a few songs for the bride and the guests.

While planning your wedding, everyone asks, "What can I do to help?" It’s OK to accept help on your wedding day, but don't force family and friends to help set-up and tear down from the wedding without first having a long discussion.

Good tasks for all the eager help is folding programs, taking candid photos, placing the guest book and favors, assembling gift baskets, etc. They should be enjoying the big day along with you.

Stress from being behind time or not having enough help can overflow into the whole wedding. Friends and family also have to get ready for the wedding themselves so they aren't available to be onsite for all of the little tasks that pop up.

Hire help for the big projects such as setting up tables and chairs as well as for any time consuming projects such as assembling decor.

Relax and enjoy the day along with your friends and family.

If you watched Steel Magnolias, you may remember the pink-tacular wedding scene. Shelby’s choices of “blush” and “bashful,” or rather pink and pink, resulted in a ceremony that may as well have been doused with Pepto Bismol.

From the invitations to the flowers and bridesmaids’ gowns, color plays a huge role in tying together all the wedding details. But with so many choices in a sea of shades and tints, it’s hard to know where to begin. Here are some tips from the pros to help you find your signature colors. Forget pastels. Bold and vibrant colors are in this year (think coral, bright shades of blue, and yellow), as are monochromatic themes. Even black dresses are gracing the runways.

Elizabeth Hempfling of Events by Elizabeth Ashley in Boone suggests choosing the venue and a theme before making color choices, which will set the tone of your wedding—dusty olive and pink champagne say vintage, red and black are classic, and yellow and lime mean vivacious. She also advises, “You want colors that are going to pop against the backdrop. Dark purple will get lost in a dark space.” Personal style should also be reflected in your special day.

“Look at pictures and art for inspiration and consider the colors you surround yourself with in everyday life,” suggests Kiersa Holy of Events by Kiersa in Asheville. If you have a specific hue in mind, Holy recommends exploring the website colorschemer.com, which offers tools for helping you make complementary matches.

Other considerations when picking colors are how they will look against skin tones or in photographs under various lighting conditions. Remember to keep it simple by narrowing your choices to two or three, and don’t change your mind after you’ve sent the invitations. This inspiration board came from a fun summer wedding. The bride fell in love with a summery yellow color and we built the wedding from there. Although the main colors were yellow and white, we added some contrast with some black and jacquard. Small jewels or broaches were added to the bouquets for a glittery accent.

This outdoor wedding felt airy and bright. The tablecloths and linens were alternated with yellow and white while black centerpieces with yellow candles and white flowers completed the effect.

Birdcage Veils

This trend which has been around for decades, become bigger in 2009. It continues into the next year with even bigger appeal.

These veils add a vintage look to any outfit, including a wedding dress. Typically a combination of jewels, feather, or netting, this look covers only part of the face and allows for more ease of movement and elaborate hair styles. Traditionally, part of the netting would cover the eyes. However, new styles are simple clips or headbands that add the same drama while keeping it simple. It is definitely for the confident bride. They can even be used for bridesmaids.

This look adds some glamour to your wedding day but also a more fun look than the traditional veil.

Wedding bouquets come in a range of styles and color choices. A trend that is showing up more and more is individualized bouquets for each member of the bridal party. Pulling off this trend takes a bit more work so use the help of a florist or wedding consultant.

The main key with this look is to choose both a color and type of flower to keep every unified. That harmonizing element will keep the bouquets from looking random. Choose one color for the core bouquet, just be sure to keep it a coordinating color to the wedding. If the bridesmaids are all wearing the same dress, the bouquets can be completely unique.

For variety add different accent flowers in contrasting colors. If the bridesmaids dresses are all a different color, you can match each bouquet to the dress. Otherwise, choose a different style or color for each bouquet. In addition to flowers, you can add unique ribbons or bows depending on the level of uniqueness you want. Try to make about 25% of each bouquet , ribbons and embellishments unique.

Being Green

Eco friendly wedding are everywhere. As people become more aware of their carbon footprint and how much impact a wedding can have, they are making changes to their events.

Brides are now emphasizing recycling - napkins, beer bottles, paper, etc. They are also focusing on reducing waste as well with eco friendly invitations and online RSVP. Many are booking green hotels for their guests.

They are also requesting more of their vendors encouraging use of LED lighting, natural cleaning products and locally sourced flowers and food.
